Coaching conversations may involve sensitive personal or professional information.
Zoom coaching sessions are routinely recorded with the client’s explicit consent.
Recordings may be used for coaching continuity, reviewing discussions, transcription, coaching analysis, preparing individualized resources, and professional development.
Recordings are not automatically distributed after sessions. Clients may request access by contacting hello@samanthaushedo.com.
Private coaching recordings and communications will not be publicly distributed without appropriate separate consent.
5. Workshops, Hot Seat Coaching, and Recorded Events
We may record workshops, live educational sessions, and hot seat coaching events.
Participants are informed about recording and, where required, their consent is obtained before their identifiable contributions are recorded or disclosed.
Workshop recordings may be made available to subscribers, members, attendees, or other audiences, depending on the nature of the event and the access arrangements disclosed at registration.
Hot seat coaching may involve participants sharing personal, professional, or sensitive information.
We obtain express permission before using identifiable participant contributions in recordings intended for distribution.
Permission to participate in a live event does not automatically authorize separate promotional use of identifiable recordings.
Participant names, identifiable stories, quotations, audio, or video will not be used in public-facing marketing without appropriate separate written permission.
We may use general, de-identified educational insights from workshop discussions, provided participants cannot reasonably be identified.
6. Intentional Ambition Collective
Intentional Ambition Collective is hosted through Substack.

Members who participate in recorded activities will be informed about the intended audience for their contributions.
If additional interactive community features are introduced, we will explain which information may be visible to other members and update this Privacy Policy where appropriate.
7. Artificial Intelligence and Technology-Assisted Services
We use artificial intelligence and technology-assisted tools to support coaching, administration, transcription, analysis, and content development.
These may include:
ChatGPT, provided by OpenAI.
Claude, provided by Anthropic.
Descript.
Zoom AI Companion.
These services may process coaching messages, transcripts, recordings, notes, and information voluntarily shared by clients.
AI tools may assist with identifying patterns, summarizing conversations, preparing individualized coaching responses, creating resources, and supporting professional development.
We aim to remove or minimize unnecessary identifying information when using these services.
In some circumstances, identifiable information, including professional circumstances or workplace details, may be processed where relevant to the disclosed purpose and legally authorized.
Third-party AI providers may process information in countries outside Canada or the United Arab Emirates.
Their data retention and potential use of information for service improvement or AI model training depend on their terms, account settings, and contractual arrangements.
The Coach remains responsible for reviewing AI-assisted material before incorporating it into individualized coaching guidance.
We do not authorize public promotional use of identifiable client information without separate written consent.
8. Confidentiality and Educational Content
We respect the confidentiality of private coaching communications.
We may use general, de-identified coaching themes, insights, and educational lessons in publications, workshops, podcasts, and social media content.
We take reasonable care to remove details that could identify a client, including distinctive workplace circumstances or professional characteristics.
Identifiable client stories, testimonials, quotations, recordings, or images will not be used for promotional purposes without separate written consent.
Consent for identifiable promotional use is voluntary and is not a condition of receiving coaching services.
9. Newsletters and Marketing
Our newsletters and marketing communications may be distributed through Substack, Kit, and other relevant communication services.
We may collect and use subscriber names, email addresses, subscription preferences, and related engagement information to administer these communications.
Subscriber information may be exported or transferred between authorized email marketing platforms where permitted by applicable law.
We send promotional communications where we have valid consent or another lawful basis.
Submitting a coaching application or contacting us through LinkedIn or Instagram does not automatically enroll someone in marketing communications.
Subscribers may unsubscribe using the link provided in promotional emails or by contacting us.
Unsubscribing from promotional emails does not prevent essential communications concerning purchased services or memberships.
10. Third-Party Service Providers
We use third-party services to operate our business, including:
Substack for publications, subscriptions, and membership activities.
Typeform for applications and questionnaires.
Kit for email marketing and subscriber management.

At present, coaching and subscriber information is managed by Samantha Ushedo without additional employees or contractors having independent access.
11. Payments and Subscriptions
Paid Substack memberships are processed through Substack’s integrated payment infrastructure, including Stripe.
Other coaching and consulting payments may be processed through Stripe, PayPal, or another authorized payment provider.
Payment providers may collect billing information, payment credentials, and transaction details necessary to process payments and prevent fraud.
We generally receive transaction information rather than complete payment card details.
The payment provider’s privacy policy may also apply.
12. International Data Processing
Because we operate businesses in Canada and the United Arab Emirates and use international technology providers, personal information may be processed or stored in other jurisdictions.
Those jurisdictions may have different data protection laws.
We will apply appropriate safeguards and comply with applicable requirements for international processing and transfers.

Newsletter and membership information: Retained while necessary to administer subscriptions, memberships, and associated obligations.
Business and financial records: Retained according to applicable tax, accounting, and other legal requirements.
Information may be retained longer where necessary to address legal disputes, comply with legal obligations, or fulfil another lawful purpose.
When identifiable information is no longer reasonably required, it will be securely deleted, destroyed, or anonymized in accordance with applicable law and practical system capabilities.
Third-party services may maintain their own backup or security-related retention periods.
14. Security
We take reasonable administrative, technical, and organizational measures to protect personal information against unauthorized access, misuse, loss, alteration, and disclosure.
These measures may include account security controls, restricted access, responsible information sharing, and appropriate technology providers.
